Stage Change Automations allow you to automatically send text messages to candidates as they move through stages in a Greenhouse job pipeline.
IMPORTANT: Automated stage change texts are scheduled to send 5 minutes after a candidate is moved to a new stage in Greenhouse.
This 5-minute delay gives your team time to make quick edits, corrections, or stage changes before the text is sent, helping reduce candidate confusion and accidental messages.

How to Set Up Stage Change Automations
1. Create your stage change templates
Create the text templates you’d like to send for each stage.
Tips:
Use available job tokens to personalize messages automatically
Use SmartDraft AI to optimize wording, tone, and deliverability
2. Enable automations for a job
From an open job:
Toggle the desired stage to On
Select the template you want to use
Choose the sender for the automated text
Click Save once you’ve finished configuring all stages
3. Confirm automations are active
Once enabled, you’ll see the Keeyora SMS Automations Active icon next to active stages in the pipeline view:
4. Move Candidates Through Your Pipeline
You're now ready to move candidates between stages in Greenhouse. This can be done by:
Dragging and dropping candidates in the pipeline view, or
Clicking Move Stage from the candidate's profile page
Each time a stage change automation is triggered, you'll receive a notification confirming that an automated text has been scheduled.
FAQs
What if I move a candidate to the wrong stage or change my mind?
No problem. Keeyora doesn't send automated texts immediately.
Messages are scheduled to send 5 minutes after a candidate is moved to a new stage, giving you time to make changes, move the candidate again, or disable the automation before the text is sent.
Who receives candidate replies?
Any replies from the candidate will be delivered directly to the team member selected as the sender for that stage automation. The conversation will also be synced to the candidate's profile in Greenhouse.
